Sheet Optimizer: Official Documentation

Welcome to the comprehensive guide for Sheet Optimizer. This tool is designed to save you hours of manual work by automating data cleaning, formatting, and analysis right inside your Google Sheets. Below is a step-by-step breakdown of every feature available in your toolkit.

Sheet Optimizer Interface
Global Feature

Multi-Language Interface

Select Interface Language

Sheet Optimizer speaks your language! At the very top of the sidebar, you can select from 10 different languages (English, Spanish, German, French, Chinese, Japanese, etc.). Choosing a language instantly translates the entire sidebar, including all buttons, categories, and helpful tooltips (the "?" icons).

Data Sanitization

1. Cleaning Tools

These tools help you fix messy data, remove unwanted characters, and get rid of useless rows in seconds.

Deep Clean

What it does: This is your ultimate text-cleaning engine. It scans your selected data and simultaneously removes invisible junk symbols, deletes double spaces, and fixes spacing errors inside quotation marks (e.g., changes " Text " to "Text"). It also automatically converts text to Proper Case (capitalizing the first letter of each word).

How to use: Select the columns you want to clean and click the button. The header row is automatically skipped to protect your titles.

Upper Case

What it does: Instantly converts all text in your sheet to CAPITAL LETTERS.

Safety Feature: This tool has a built-in safety scanner. It will strictly ignore any cells containing formulas, numbers, or dates, ensuring your calculations never break.

Clear Rows

What it does: Scans your document and permanently deletes any row that is completely empty across all columns.

Safety Feature: If a row contains even a single character, number, or intentional space, it will be preserved.

Presentation Ready

2. Formatting & Styles

Transform raw, ugly data into a visually appealing, presentation-ready dashboard with just two clicks.

Apply Theme

What it does: Applies a professional color palette to your columns. It clears any conflicting messy backgrounds, ensures text is highly readable, and paints the header and body rows in beautifully matched colors.

How to use: Select one of the 5 premium themes from the dropdown menu (🌈 Rainbow, 🌊 Ocean, 🌲 Forest, 🌅 Sunset, 🏢 Corporate) and click "Apply Theme".

Auto Layout

What it does: Standardizes the entire look of your sheet. It changes the font to the modern "Inter" (size 10), centers all text vertically and horizontally, and automatically expands column widths to fit your longest text perfectly (with comfortable padding).

Freeze Header

What it does: Instantly locks the top row (Row 1) of your sheet in place. As you scroll down through hundreds of rows of data, your column titles will always remain visible at the top of the screen.

Data Protection

3. Analysis & Security

Identify data issues, find duplicates, and secure your critical calculations seamlessly.

Highlight Duplicates

What it does: Scans your sheet to find identical, repeating rows of data. Instead of deleting them automatically, it safely highlights all duplicate rows in a clear yellow color so you can review them manually.

Delete Duplicates

What it does: The ultimate duplicate remover. It scans your data, keeps the first original entry, and permanently deletes all subsequent identical copies of that row.

How to use: Use this when you are 100% sure you want to clean up repeated data. (Tip: You can always use Ctrl+Z / Cmd+Z to undo if you make a mistake).

Lock Formulas

What it does: Automatically detects every single cell in your sheet that contains a formula and applies a soft protection layer. If anyone (including you) accidentally tries to type over a formula, Google Sheets will show a warning prompt. This significantly reduces accidental data corruption.

Scan Errors

What it does: Locates broken formulas or standard spreadsheet errors (such as #REF! or #DIV/0!) and instantly highlights them with a bright red background and bold white text, making them impossible to miss.

Data Structuring

4. Smart Tools & View

Advanced automation for sophisticated data structuring and viewing.

Smart Tags (Auto Dropdowns)

What it does: An intelligent categorization engine. It evaluates your columns and automatically creates Dropdown Menus (Data Validation chips) for categorical data (like "Pending", "Done", "In Progress").

Smart Filter: To keep your sheet clean, it strictly ignores columns with numbers, dates, unique IDs, or columns with too many unique words.

Clean View

What it does: Upgrades your sheet into a dashboard interface. It disables the default, harsh Google gridlines, applies subtle light-grey inner borders, and adds standard filter toggles to your top header row.

Smart Tags and Clean View UI

Splitter

What it does: Automatically breaks combined text from a single column into multiple separate columns (e.g., splitting "John Doe" into "John" and "Doe").

How to use: Select a column with glued text. Click Splitter. The tool automatically detects if your text is separated by spaces, commas, or semicolons. It calculates how many new columns are needed, inserts them safely to the right (without overwriting your adjacent data), and splits the text instantly.

Frequently Asked Questions (FAQ)

Does Sheet Optimizer store or have access to my private spreadsheet data?
No, your data is 100% secure and private. Sheet Optimizer runs entirely locally within your own Google Workspace environment. We do not collect, read, transmit, or store your spreadsheet data on any external servers. The add-on only processes the data directly inside your active document when you click a tool.
How can I restore my original file if I make a massive change by mistake?
While you can use the standard Undo shortcut (Ctrl+Z on Windows or Cmd+Z on Mac) immediately after an action, we highly recommend making a complete backup copy of your Google Sheet (File > Make a copy) in your Google Drive before using bulk editing tools like "Delete Duplicates" or "Deep Clean". Creating a backup beforehand is the best practice to completely avoid any risk of data loss.
How do I change the language of the add-on?
Sheet Optimizer supports 10 languages! Simply look at the very top of the sidebar under "Select Interface Language", click the dropdown menu, and choose your preferred language. The entire interface, including helpful tooltips, will translate instantly.
Will "Upper Case" or "Deep Clean" break my formulas?
No, your formulas are completely safe. Our text tools are specifically programmed with a safety scanner to detect and skip any cells containing formulas, numbers, or dates. They only modify static text.
Does "Clear Rows" delete rows with partial data?
No, it strictly targets completely empty rows. If a row has even a single space, number, or character in just one cell, the tool will preserve the entire row.
Where did my standard gridlines go after using "Clean View"?
"Clean View" is designed to give your sheet a professional, dashboard-like appearance. It hides the default Google Sheets gridlines and replaces them with clean, soft-grey inner borders. If you ever want the default gridlines back, simply go to the top Google Sheets menu: View > Show > Gridlines.
Does the Duplicates tool delete my repeated rows?
We offer two different tools for this:

Highlight Duplicates: Safely highlights all identical rows in a soft yellow color so you can review them manually. It does not delete anything.

Delete Duplicates (Red Button): This tool will permanently remove the repeated rows, keeping only the first original entry. Please use this carefully!
Why did "Smart Tags" ignore my columns with prices, IDs, or dates?
The Smart Tags tool features a strict filter designed specifically for categorical text data (like status updates, names, or categories). It intelligently ignores columns that contain dates, numbers, unique IDs, or are completely empty. This prevents the creation of massive, unusable dropdown menus for unique data points.
Will the "Splitter" tool overwrite the data in adjacent columns?
No. When you use the Splitter tool, it automatically calculates how many new columns are needed to fit your separated text and securely inserts new blank columns directly to the right of your selection. Your existing data is never overwritten.
How does "Lock Formulas" work? Does it completely block me from editing?
"Lock Formulas" applies a warning-based protection layer to all formula cells in your sheet. It does not completely block you or lock you out; it simply triggers a pop-up warning if you or someone else tries to edit a formula. This prevents accidental typos while keeping you in full control.
