How to Create a Trading Journal in Excel: Setup Guide & Essential Metrics

A useful trading journal is more than a list of wins and losses. It records the decisions, risk and market context behind every trade so you can review your process with evidence instead of memory.

What is a trading journal?

A trading journal is a structured record of your trades and the reasoning behind them. A basic log tells you what you bought and sold. A useful journal also captures your setup, planned risk, execution, fees, result and post-trade observations.

The purpose is not to prove that every trade was good. It is to make your process measurable. After enough observations, you can compare setups, markets, trading sessions and execution habits using the same definitions.

The question your journal should answer

β€œWhen I follow a specific setup and risk rule, what tends to happen over a meaningful sample of trades?”

CME Group’s trade-plan education recommends defining factors such as intended leverage, maximum loss per trade and maximum daily loss before trading. Your journal is where those planned limits can be compared with what actually happened.

Step 1: Build a simple workbook structure

Start with a small number of tabs. Adding too many dashboards before you have consistent data usually creates maintenance work instead of insight.

Use dropdown lists for repeated categories such as direction, setup and outcome. Microsoft documents data validation as the standard Excel feature for restricting entries and creating consistent input rules. Consistent labels prevent β€œBreakout,” β€œbreak out” and β€œBO” from becoming three different categories in your analysis.

Step 2: Add the essential trading journal columns

The right columns depend on your market, but the following structure works as a reliable starting point.

Keep raw data separate from analysis. Enter trades in one clean table and calculate dashboards elsewhere. This makes filters, formulas and future updates easier to manage.

Step 3: Add formulas that support better reviews

You do not need dozens of statistics. Begin with metrics you can define consistently and act on.

Use the net result when evaluating performance. Frequent trading costs can materially affect results.

R-multiple

A +2R trade earned twice the amount initially risked; a βˆ’1R trade lost the planned risk amount.

Win rate

Win rate needs context. A lower win rate can still work when average winners are meaningfully larger than average losses.

Expectancy in R

(Win % Γ— Avg Win R) βˆ’ (Loss % Γ— Avg Loss R)

Use decimal rates (for example, 0.40 for 40%) and the absolute magnitude of average losses. Expectancy summarizes the average outcome per trade in risk units across your selected sample; historical results do not predict future returns.

Stocks, forex, futures, options and crypto do not all calculate P&L in the same way. Futures may require a contract multiplier or tick value; options can involve contract multipliers and multi-leg positions. Document the exact calculation used in your workbook and test it against several broker statements before relying on a dashboard.

Step 4: Record the trade in three stages

Record the setup, entry condition, invalidation point, target, planned risk and a pre-trade screenshot.

Record execution changes

Note actual fills, partial exits, stop adjustments and whether the original reason for the trade changed.

After

Review process before outcome

Score rule adherence first. Then add the result, MFE, MAE, screenshots and a short lesson.

Step 5: Create a weekly trading journal review

A journal becomes useful during review, not during data entry. Set a regular time when the market is closed and answer the same questions every week.

Common trading journal mistakes

Recording only winning and losing amounts

The result does not explain whether you followed the plan. Capture the setup, planned risk and execution decisions that produced it.

Changing labels every week

Inconsistent categories make comparisons unreliable. Maintain a small setup dictionary in your Playbook tab.

Using formulas you have not verified

Test P&L, fees, point values and multipliers against broker confirmations before trusting summary statistics.

Tracking too much too early

Start with fields you will review. Add a column only when you can explain what decision it will support.

Judging the journal by short-term profit

A good journal measures consistency and helps identify questions. It does not guarantee that a strategy will be profitable.
